Understanding managed IT

IT has become strategic

IT is no longer just a work tool. Today it underpins production, communication, customer relationships, cybersecurity, collaboration, and business continuity.

Yet many SMEs still only deal with IT when something breaks. This reactive approach leads to service interruptions, lost productivity, and costs that are often higher than preventive management would have been.

Managed IT lets you regain control of your information system by entrusting its monitoring, operational upkeep, and evolution to a specialized partner like UNTHUB.

Key takeaway

Managed IT is not an expense. It’s an investment in the reliability, security, and competitiveness of your business. The cost of one hour of downtime often exceeds the cost of a month of managed IT.

Why outsource

What SMEs really gain

An SME has neither the time nor the resources to keep up with constantly evolving technology, cyber threats, and regulations. Outsourcing your IT to UNTHUB means:

Access to complete expertise — network, cloud, security, Microsoft 365, backups — without hiring a full-time in-house IT team.

A proactive outlook — permanent monitoring, early alerts, planned maintenance. You’re informed before your users notice anything.

Secured business continuity — with tested backups, a documented recovery plan, and an infrastructure continuously monitored.

Our managed IT method

How UNTHUB manages your information system

Effective managed IT doesn’t happen by chance. UNTHUB follows a structured 7-step methodology, proven across dozens of SME environments. Every step is documented, measured, and reported.

01

IT Assessment Foundation

Before any intervention, UNTHUB carries out a complete assessment of your information system. We analyze your physical and cloud infrastructure, network equipment, backups, software licenses, workstations, and security practices. This assessment produces a detailed report with a clear map of your IT environment and a list of actions prioritized by risk level. It’s the foundation for everything — without this initial snapshot, effective management is impossible.

02

Mapping & documentation Structure

UNTHUB documents your entire infrastructure: network diagrams, inventory of equipment and software, access rights structure, administration procedures, vendor contracts, and emergency contacts. This documentation is stored on our secure platform and belongs entirely to you. It removes any dependency on a single person — if your in-house technician leaves, the information remains available and structured. It’s also a prerequisite for genuine business continuity in the event of a major incident.

03

Setting up monitoring Visibility

All your critical equipment — servers, network, workstations, backups, Microsoft 365, cloud — is connected to our proactive monitoring platform. Probes continuously collect metrics: availability, resource usage, backup status, security alerts. A dedicated dashboard gives you real-time visibility into the state of your IT. Monitoring is the fundamental difference between managed IT and simple corrective maintenance.

04

Preventive maintenance Stability

UNTHUB plans and applies security updates, OS patches, software fixes, and hardware maintenance according to a schedule defined and validated with you. This preventive maintenance avoids the vast majority of incidents. We also manage your fleet’s lifecycle — end-of-life alerts, renewal planning, license optimization. Nothing is left to chance or discovered only when a breakdown occurs.

05

User support Responsiveness

UNTHUB’s helpdesk is your team’s daily point of contact. Hardware issues, software problems, Microsoft 365 questions, VPN access, locked-out workstations — everything is handled within the timeframes defined by your SLA. Interventions are primarily remote (resolved within minutes), with on-site visits when necessary. Every ticket is logged, documented, and closed with an intervention report. Your users are never left without a response.

06

Monthly reporting Transparency

Each month you receive a complete report on your information system: uptime indicators, incidents handled and resolution times, backup status and restore test results, fleet evolution, update compliance, and recommendations for the coming period. This report is written in plain language — no technical jargon, just directly actionable information to help you make the right decisions.

07

Continuous optimization Progress

UNTHUB’s managed IT service isn’t a static contract. We hold quarterly reviews to assess how your IT is evolving, identify improvement opportunities, and adapt our scope to your growth. Cloud migration, stronger security, deploying new collaboration tools, network expansion, opening a new site — UNTHUB anticipates these changes and supports you through their implementation.

Managed IT in action

What actually happens when you’re an UNTHUB client

Here’s how UNTHUB handles three real situations our clients face. It’s the difference between a reactive response and a structured organization.

Critical server alert

Automatic detection — before the outage

1

2:14 AM — UNTHUB’s monitoring detects a critical disk usage level on your main server.

2

An alert is generated automatically. Our system assesses severity and escalates the incident.

3

An UNTHUB engineer analyzes the incident, identifies the cause, and launches a remote fix.

4

Disk space is freed up, logs are purged, and the root cause is documented.

5

7:30 AM — Your team arrives at the office. The server is running normally. A report is sent to you.

6

A preventive recommendation is added to the monthly report to avoid recurrence.

A new hire joins

Secure IT onboarding within hours

1

Your HR team reports a new hire via our client portal.

2

UNTHUB creates the Microsoft 365 account, sets access rights based on their role, and enables MFA.

3

The workstation is prepared, configured, and enrolled in Intune with the company’s security policies.

4

VPN access, network shares, and business applications are configured based on their role.

5

The new hire receives their access and a 20-minute IT onboarding session to get familiar with their tools.

6

The inventory is updated. The new hire is up and running from day one.

Phishing attempt detected

Security incident response

1

Microsoft Defender detects a malicious email that bypassed the spam filter. Alert escalated to UNTHUB.

2

We analyze the message, identify the malicious domain, and check whether other employees were targeted.

3

The email is removed from all inboxes. The malicious domain is blocked at the firewall level.

4

If a click was detected, the device is isolated, analyzed, and cleaned. The employee’s password is reset.

5

You receive a clear incident report — nature of the attack, actions taken, remaining risk.

6

Targeted awareness training is offered to the employees affected. Filtering rules are strengthened.

Comparison

Without managed IT vs. with UNTHUB

The difference between IT you endure and IT you control is measurable — in uptime, security, and cost.

✗ Without structured managed IT
Outages discovered by users — no anticipation
Multiple providers with no coordination — nobody knows what the others are doing
Irregular backups, never tested
Unplanned costs and unbudgeted emergency bills
Corrective maintenance only — you act after the breakdown
Poorly monitored network — anomalies caught too late
Limited security — little to no threat monitoring
✓ With UNTHUB
Proactive UNTHUB monitoring — incidents resolved before impacting users
A single UNTHUB contact — a coherent, global view
3-2-1-1-0 backups, regularly verified and tested
Fixed monthly fee — zero surprises in your IT budget
Continuous improvement — your IT gets better every month
Permanent network monitoring — 24/7 alerts
Built-in cybersecurity — EDR, patches, risk analysis
Common pitfalls

Mistakes that cost businesses dearly

These mistakes are common and avoidable. Most only surface at the moment of the incident — when it’s already too late to fix them quickly.

Waiting for the breakdown — no preventive monitoring, purely corrective response
Forgetting about backups — or assuming Microsoft 365 backs up automatically
Never testing restores — an untested backup remains just an assumption
Keeping inactive accounts — former employees still active in Active Directory
Using outdated equipment — end-of-support OS, devices with no security patches
Juggling multiple providers — with no overall view, responsibility gets diluted
Not documenting the infrastructure — knowledge locked in one person’s head
Neglecting updates — known vulnerabilities exploitable for months
Not monitoring servers — full disks, saturated RAM, critical temperatures going undetected
Not training users — phishing remains the leading cyberattack vector
Frequently asked questions

Managed IT — everything you need to know

18 essential questions about managed IT services for SMEs. Complete answers, no jargon.

Understanding managed IT

What is managed IT?

Managed IT (or MSP — Managed Service Provider) refers to outsourcing all or part of a company’s information system. The provider — in this case UNTHUB — handles monitoring, maintenance, security, user support, and the evolution of the IT environment under a contract defining service levels (SLAs). Unlike a one-off provider called in only when something breaks, a managed service provider runs your IT continuously, proactively, and contractually.

Why outsource your IT?

Outsourcing your IT gives you access to complete expertise without hiring a full-time in-house IT team. An SME can’t realistically maintain in-house skills across every technology it depends on — cloud, cybersecurity, network, backups, Microsoft 365. Outsourcing to UNTHUB means benefiting from a multidisciplinary team, permanent monitoring, and IT that evolves with your business. The cost of an unanticipated incident usually exceeds the cost of a year of managed IT.

What does managed IT cost?

Cost depends on the scope covered, the number of users and devices, the service levels chosen, and the complexity of your infrastructure. At UNTHUB, every contract is sized individually after a free assessment of your IT. The monthly fee is fixed, transparent, and free of unpleasant surprises. In practice, the cost of managed IT is well below the total cost of an in-house IT technician, while offering much broader expertise coverage.

Managed IT vs. alternatives

Does an SME really need managed IT?

Yes — often more so than a large enterprise, since an SME has fewer internal resources to handle incidents and evolve its IT. Ransomware that cripples a large organization for 4 hours can shut down an SME for several days, or even threaten its survival. UNTHUB’s proactive monitoring, tested backups, and documented procedures significantly reduce this risk. Managed IT isn’t reserved for large companies — it’s designed for organizations that can’t afford downtime.

What’s the difference between maintenance and managed IT?

IT maintenance is one component of managed IT — it refers to preventive and corrective work on equipment. Managed IT is broader: it includes permanent monitoring, user support, backup management, security, documentation, license management, and continuous improvement. Maintenance responds to incidents; managed IT anticipates them.

What’s the difference between managed IT and an MSP?

Both terms describe the same thing. MSP (Managed Service Provider) is the industry term; « infogérance » is the French equivalent. An MSP — like UNTHUB — commits contractually to measurable service levels (SLAs) and typically bills a flat monthly fee. That’s what sets it apart from a traditional provider who’s called in on demand, with no commitment on response times or visibility into your IT.

Microsoft 365 and backups

Do you work with Microsoft 365?

Yes, Microsoft 365 is at the core of our expertise. UNTHUB manages your entire tenant: account creation and management, license assignment, configuration of Exchange Online, Teams, SharePoint, OneDrive, and Microsoft Defender. We also handle Entra ID (formerly Azure AD) integration, Intune deployment for asset management, and complete backup of your M365 tenant via Veeam. If you’re considering a migration to Microsoft 365 from Google Workspace or an on-premise Exchange server, we support the whole project, from planning to final cutover. See our dedicated Microsoft 365 page.

Do you manage backups?

Yes, and it’s one of the pillars of our managed IT service. UNTHUB designs and manages your complete backup strategy following the 3-2-1-1-0 rule: 3 copies on 2 different types of media, including 1 offsite copy, 1 immutable copy (un-erasable, ransomware-proof), and 0 errors after automatic verification. We cover your physical servers, virtual machines, databases, NAS, workstations, and your entire Microsoft 365 tenant.

Do you carry out restore tests?

Yes, and it’s non-negotiable. A backup that’s never been tested is just an assumption — you won’t know if it works until the moment you actually need it, which is during an incident. UNTHUB runs regular restore tests — at minimum quarterly for critical data — and provides you with a documented report showing actual restore times. This validates that your RTO (recovery time objective) is realistic and catches potential issues before an emergency.

Security and service commitments

What is an SLA and how does it work?

An SLA (Service Level Agreement) is a contract defining UNTHUB’s service quality commitments: maximum response times based on incident severity, system availability, restore times, and so on. In practice: critical incident (system down) — response within 1h; major incident — within 4 business hours; minor incident — within 8 business hours. These times are measured, reported monthly, and can be adjusted based on your service level.

How does UNTHUB protect against ransomware?

Our anti-ransomware protection relies on several complementary layers, aligned with ANSSI’s recommendations (the French cybersecurity agency): immutable backups (S3 Object Lock) that even an attacker with admin rights can’t encrypt; network segmentation (VLAN) limiting spread; EDR (Endpoint Detection and Response) deployed on all devices; update management eliminating known vulnerabilities; email filtering with attachment analysis; and proactive monitoring of abnormal behavior. In the event of a confirmed attack, our incident response procedure isolates, analyzes, and restores within defined timeframes.

Do you handle cybersecurity?

Yes. Cybersecurity is built natively into our managed IT offering — it’s not an add-on. We handle security update management, EDR deployment and administration, firewall and network filtering configuration, access rights and MFA management, monitoring of Microsoft Defender security alerts, and analysis of intrusion attempts. For advanced needs (security audit, NIS2 compliance, penetration testing), we offer dedicated additional services.

Organization and transition

Do you work on-site?

Yes. Most incidents are resolved remotely through our remote support tools — quickly, with no travel required. For physical interventions — hardware replacement, network cabling, workstation deployment, server work — UNTHUB operates on-site across the Alpes-Maritimes (Nice, Cannes, Antibes, Sophia Antipolis, Grasse, Menton), within the timeframes defined by your SLA.

Can we keep an in-house technician?

Absolutely. UNTHUB very often works in co-management with an IT director, IT manager, or in-house technician. We take on topics that go beyond internal skills (advanced cybersecurity, cloud, immutable backups) or repetitive operational tasks (tier-1 helpdesk, monitoring, reporting). This frees up your internal resource for higher-value projects.

How does the transition from our current provider work?

UNTHUB manages the transition in a structured way, with no service interruption: audit of the existing setup, recovery of available documentation, knowledge transfer with your outgoing provider, then gradual rollout of our monitoring and management tools. We coordinate with your current provider to guarantee full continuity. The transition usually takes 2 to 4 weeks depending on the complexity of the environment.

Practical & contact

What are your response times?

Our standard response times: critical incidents (system inaccessible, production stopped) — handled within 1h; major incidents (significant service degradation) — within 4 business hours; minor incidents (inconvenience without blocking) — within 8 business hours. These times are defined in your contract and measured monthly. Outside business hours, our monitoring and on-call system guarantees a fast response for critical incidents.

Do you only operate in the South of France?

Our main on-site coverage area is the Alpes-Maritimes (Nice, Cannes, Sophia Antipolis, Antibes, Grasse, Menton). Since most of our work is done remotely, we can support businesses with sites elsewhere in France or internationally for monitoring, support, and administration. On-site work outside our main coverage area is handled under a specific agreement.
